Coursework Scholarships, Grants and Prizes Procedure

1. Purpose

1.1. This procedure states the processes for establishing and administering coursework Scholarships, Grants and Prizes at Adelaide University.

1.2. This procedure is to be read in conjunction with the Scholarships, Grants and Prizes Policy.

2. Scope

2.1. This procedure applies to all scholarships, grants and prizes for which students enrolled in programs with a coursework component are eligible.

2.2. This procedure does not apply scholarships, grants and prizes exclusively for students in higher degrees by research.

3. Procedure

Establishment of scholarships, grants and prizes

3.1. A proposal to establish a new scholarship, grant or prize must be completed and submitted on the approved Adelaide University template and in accordance with the Adelaide University Delegations of Authority.

3.2. Whenever possible selection criteria should allow for Adelaide University staff to administer the scholarship, grant, or prize. Scholarships, grants, or prizes of significant financial or reputational value may require a selection panel.

3.3. Adelaide University will set a minimum value for scholarships, grants and prizes.

3.4. Arrangements with donors must be formalised in writing.

Selection processes for scholarships, grants and prizes

3.5. The selection process for scholarships, grants and prizes will be prescribed by a set of approved rules.

3.6. Where a selection panel is required, panel membership will be determined by the rules, and will be chaired by an appropriate Adelaide University staff member.

3.7. Selection panel membership will include representation appropriate to the intent of the award and, wherever possible, be gender balanced. Selection panel members must avoid any actual, potential, or perceived conflict of interest.

3.8. When a selection panel is not required under the rules, the successful recipient will be determined and approved by appropriate Adelaide University staff.

3.9. Student information is confidential and must only be used as part of the selection process.

3.10. Adelaide University will ensure that recipients and, where relevant, donors are advised of selection outcomes in a timely manner.

Administration and review of scholarships, grants and prizes

3.11. Adelaide University will publish up-to-date information on its website about the selection process, timing, value, and frequency of each scholarship, grant and prize.

3.12. Each scholarship, grant and prize will be reviewed at least every five years following its establishment. At that time, a decision may be made to renew, amend or disestablish the scholarship, grant or prize according to Adelaide University’s legal obligations and consultation with the donor.

Scholarship and grant-specific matters

3.13. Scholarships and grants are not transferable to another provider unless otherwise specified.

3.14. Scholarship and grant offers will be made using the approved Adelaide University template and in accordance with the Adelaide University Delegations of Authority.

3.15. Scholarship and grant holders must comply with the conditions set out in the rules to maintain eligibility.

4. Definitions

4.1. Grant is an award that assists a student to meet the initial costs of commencing university study, or to undertake a designated component of a program, for example a placement or international exchange. A grant is normally a one-off occurrence and usually takes the form of a payment made to the student or a reduction in specified costs, such as tuition fees.

4.2. Prize is an award that recognises outstanding academic achievement, academic development, or any other criteria specified in the rules.

4.3. Scholarship is an award that assists a student to undertake or complete a program of study at Adelaide University for a nominated duration, normally taking the form of a period payment, or reduction in tuition fees.
