Study Away allows you to undertake research, fieldwork, study or attend conferences while located outside the University for a limited period, typically not exceeding 12 months. This includes interstate or overseas travel.
Before applying, consider the availability of supervision, travel costs, living arrangements and how you will stay in regular contact with your Adelaide University supervisors. Graduate research students must complete a Study Away application to initiate the travel approval processes.
If you are a Joint PhD Award student and Adelaide University is your home university, you must notify the Graduate Research School before travelling to your partner university and also fill in the Study Away application.
In cases where you fund your own travel or receive travel funds directly, such as through a grant, scholarship or loan, you may, unless otherwise directed, make your own travel arrangements, provided they comply with Adelaide University guidance and requirements, and have been approved by the Graduate Research School. When travel is funded by the University, it must be arranged using the University’s designated travel provider.
Additionally, all international travel must be registered with Healix, the University’s designated provider of emergency medical and travel assistance.
Please refer to the Student Travel Procedure and refer to the Graduate Research Handbook if you have questions.
Applying for Study Away
To apply, complete the Study Away application and submit it to the Graduate Research School well before your intended departure. If you have not yet completed your Initial Review of Progress, your application must include a supporting statement from your principal supervisor and your Dean of School or delegate, such as Graduate Research Coordinator. Approval from the Pro Vice Chancellor Graduate Research Training is also required.
Once submitted, the Graduate Research School will notify you in writing of the outcome. Please note that approval for Study Away does not replace the requirement to seek separate authorisation for travel to high-risk destinations.
Travelling overseas
If your Study Away involves overseas travel, please refer to the Graduate Research Handbook for further information on what you need to do when you start planning your travel.
Before travelling, students must review the Adelaide University travel insurance webpage for any listed coverage exclusions or sanctioned destinations.
Where travel is not covered by Adelaide University's insurance, this does not automatically prevent approval. However, the travel may be subject to further assessment under the High-Risk Travel Procedure.
While travelling, students must check in using Adelaide University’s designated risk and incident management system as required.
High-risk destinations
If your travel destination is listed as ‘reconsider your need to travel’ (level 3) or ‘do not travel’ (level 4) on the Smart Traveller website, or if locations or itineraries present significant medical, political, environmental or logistical risk, you may require additional approvals. Please refer to the High-Risk Travel Procedure for more information.
International graduate research students
If you are an international graduate research student, it is your responsibility to ensure your Study Away plans comply with your visa conditions. If you are a citizen of a country subject to United Nations or Australian Government sanctions, your application may need to be reviewed by the Department of Foreign Affairs and Trade (DFAT), which can delay approval. To avoid delays, submit your application at least 15 working days before travel and do not make travel arrangements until approval is granted.
